Here's how you can address a vendor failing to deliver on a delegated task.

It’s like everyone’s eager to wave the checkered flag at the project’s start, but then they disappear faster than a Mercedes on a German expressway. And the minute things go off the rails, it’s finger-pointing time. Avoid the Post-Award Lull & Why It Happens Overconfidence: Organizations often assume that once a contract is signed, the vendor will handle everything smoothly. They believe their job is done and expect the vendor to deliver without much oversight. Resource Reallocation: After awarding the project, resources might be shifted to other priorities, leaving the project without the attention it deserves. Communication Breakdown: There’s often a lack of ongoing communication plans, leading to gaps in updates and misunderstandings.

Document the Issue 4. Focus on Solutions 5. Prevent future issues While it's important to address the issue firmly, the goal is to find a resolution that benefits both you and the vendor.

When things are going well in business, vendors are seen as "partners"; it's easier to lay the blame when the reverse happens. Situation-dependent, acknowledging the mutual failure by both vendor and client is a start. Symptoms of under-delivery are usually hostile/one-way communication, lack of transparency, the fear of saying no to the client, and the lack of acceptance of bad news by the client, leading to a breakdown of trust over time. The root causes could be both parties did not buy into a vision of the "end state" (i.e. agree on targets), unrealistic targets, misaligned expectations, toxic culture rendering a true partnership as mere lip service, etc. Looking at the symptoms and then addressing root causes is key.

When working with vendors it is important to make sure everyone is on the same page and there are clear documented tasks, timelines and expectations. This helps to reduce confusion and the risk of missing deadlines. Also, sometimes vendors can be leery of saying they may miss a deadline due to an issue they are trying to overcome and therefore wait until the last minute to share that there is a problem they have been fully aware of. Should an issue occur an open and honest conversation about the issue and impacts should be had with everyone working towards a new agreed upon timeline.

One thing I consider crucial is listening to the vendor's perspective on things. In my practical experience, I have come across situations in which the client's Project engineer or site engineer, often misleads the project managers. Since they are not physically present on site, they rely on words of their own people. In this process, the concerns of vendors get washed out leading to disagreement and delays. Many a times, the site engineers mislead just to make their jobs easier and put the blame on vendors, and obviously the client will listen and act on their word more than the vendor. So one thing to make sure is, the vendor should be given ample space to present their point and concerns before taking any action.

Addressing a vendor’s failure to deliver requires a structured approach. Firstly, document the issue, clearly outlining the unfulfilled deliverables and deadlines. Secondly, promptly communicate with the vendor, maintaining professionalism while seeking explanations for the inadequacy. Thirdly, review your contract to understand your options and the vendor’s obligations. Lastly, collaborate on a recovery plan with revised timelines and increased oversight. If problems persist, consider escalating to higher management or exploring contractual remedies. Use this experience to refine your vendor management processes for future engagements.

Vendor Management is an ART The first step is to analyze the problem statement. Deep dive into what is going wrong in the process, go deep to the ground level instead of just crossing your path through the uppermost layer only. Cross question them on their understanding of the skill set and the jd to gage if they are actually targetting the correct set of people . Give them effective solutions, be their mentor and counsel them towards the right path to deliver the assigned assignment.

Wait, are you part of vendor management? Then it is also your failure but just the vendors. Why did you let it happen? What could you have done differently? What will you do different going forward. This inward reflection is critical to preparing yourself for the meeting with the vendor. If I want the vendor to improve then I need to be open and communicate about myself first. Then, ask whatever could I have done differently Only after these items are covered can we have a honest and deep conversation with the vendor to address what can be done differently. Start by asking for their own assessment and recommendations. You may be surprised by the feedback and answers. Agree how you both will mutually help each other.

I found in my career that successful communication and collaboration with IT vendors (I recognize them as Partners) is paramount to reducing strained relationships. Engage transparently, identify issues promptly, and work together to improve deliverables. Take the setback as an opportunity to regroup within the service agreement. Be clear with milestones after the setback. Take the time to reevaluate the attributes of the existing service contract to adjust terms which can improve conditions for win/win results. Additionally, work to select backup partners, thus preparing for business continuity preparedness.

Even before awarding the project, we need to identify end goal clearly alongwith the resources required (people, systems, compliance clearances, infrastructure etc.). We shall also need to have clarity on how to navigate surprises and hurdles that may arise during the course of the project to avoid delays and finger pointing. My experience says "Time is the essence". Even when the project is not a high priority-one, one need to focus on timely completion of the project as delays lead to a viscous circle and several new challenges.

After the vendor selection and project initiation, vendor should be treated as a partner with the mindset that we both needs to win together (In case vendor fails to deliver, we will be fail). In a situation where vendor is unable to deliver or meet the timelines, we need to access the situation in a pragmatic way and needs to understand vendor's issue. After identifying it we should support our partner to overcome those at soonest and make sure that target is very clear in front of both organizations to achieve.

Open dialogue or clear communication is vital for successful completion of any project. Being a project manager myself, I always try to bridge the gap between me and my vendors. Instead of playing blame game, the best thing is to clearly express your concerns regarding delaying of project or workmanship issues etc. and listen to thier part as well. The most imp. thing is to be empathetic while listening and if there really is anything which can be changed from your part, which coukd result in the vendor's benefit, you shoukd do it. If there is any clearly visible issue from the vendor's side, try to make him understand eithout using accusatory language. Afterall, everyone is in the market to gain somethng and conflicts result in nothing.

Never assume the worst if this happens, there's factors we can't control. It is our duty to help our vendors succeed and complete the task to make a project successful. I have jumped in on a number of occasions and assisted the vendor by either giving them the tools to push or allowing them some leeway on time that doesn't affect the other vendors. As a senior leader in an organization you have the foresight to predict this and be able to head it off before it becomes a problem

I specify the exact deliverables, deadlines, and any relevant communication that was set up at the beginning of the relationship. It's important to collect emails, contracts, or any other documentation that supports your claim. Then I clearly explain the issue, referencing the specific task and the expected outcome. Most of the time, we are able to fix the issue during the initial conversation, but if the issue remains unresolved, bring in your supervisor or project manager.

Here is a simple approach to explore the solution 1. Collaborate-with your vendor to explore potential solutions after discussing the issues. 2. Set-a new deadline, provide additional resources, or modify the original task if necessary. 3. Find-a mutually agreeable solution that minimizes business impact and is fair to the vendor. 4. Focus- on resolving the issue rather than assigning blame.

We can check the vendor how much time they take to deliver the product to certain location. As per that data, we can plan our inventory by calculating the DRR. We can deduct the additional time taken by ventor to deliver the stock from the actual DOC and maintain the stock.

Well, rather than jumping the gun & being unidirectional as you might have the final say as a client , various other factors come into the canvas when a vendor is failing to deliver...it depends upon the relationship longevity, mapping of success : failure % during the course of alliance,past trends & approach taking by the vendor in case a problem statement have had tossed up in the past & how proactive the vendor is & committed to mitigate the failures & go all gun blazing to fix it ,in case still the trend continues than one have to take the respective course of action , also it's always better to have multiple vendors for a particular tasks as monopolistic,single vendor sometimes might get complacent.

Document playas an important role here is a simple approach 1. Document- any agreements or solutions in writing. 2. Ensure- both parties are clear on new expectations to prevent misunderstandings. 3. Outline- revised deliverables, timelines, and relevant details in the document. 4. Provide-a reference point for future evaluations of the vendor's performance.

Monitor the progress 1. Monitor- the vendor's progress closely with the new agreements in place. 2. Increase- the frequency of check-ins or status updates if necessary. 3. Identify- any further issues quickly to address them before they escalate. 4. Demonstrate- to the vendor your commitment to the task's completion.

In vendor-client relationships we always assume the vendor is the cause for failling to complete a task. Research has shown that in over 90% of time the client is the source for deviations resulting in not achieving a task or deliver a project on time, on budget by the vendor. Therefore one must be very careful before blaming the vendor. Besides having a vendor who fails a task shows us that the selection of this vendor must have errors? Why has this vendor been selected in the first place? Look at yourself, before you start controlling or blaming others around you.
