In the middle of a client session, managing interruptions effectively is key to maintaining focus and delivering value. I start by creating a distraction-free environment before the session begins. I include silencing notifications, informing others of your unavailability during the session, and ensuring all necessary tools or materials are prepared in advance. This includes having my team available and ready if needed. Distractions during sessions go through my VA, then one of my executives if needed, and only comes to me if it's an absolute emergency that only I can handle. I have a strict process in place, I briefly acknowledge the interruption, address it only if absolutely necessary, and then refocus on my client.

If an interruption happens, I stay calm and acknowledge it briefly, so it doesn’t take over the session. Then, I gently refocus the conversation by summarizing where we left off and guiding the client back to the topic. This keeps the flow smooth and ensures we don’t lose momentum.

When the inevitable interruption hits mid-session, I keep my cool and acknowledge it briefly—like saying, “Let’s put a pin in this thought for a moment.” Then, I address the interruption with a calm, matter-of-fact response, and refocus right back on the client’s last point. Sometimes I’ll summarize what we were discussing to smoothly pick up the thread. It’s about showing the client their time still matters and I’m not rattled by distractions. With a steady tone and clear boundaries, I keep the conversation on track. “Think of interruptions as speed bumps, not dead ends.”

Managing interruptions during a client session requires a balance of professionalism and mindfulness. When an interruption happens, please acknowledge it without allowing it to dominate the moment. A brief pause, coupled with a composed response such as, “Let’s take a moment to address this,” helps maintain control of the session. After handling the interruption, refocus by summarizing where the conversation left off, ensuring continuity. Staying present and practicing mindful breathing during these moments helps retain clarity and composure. By managing interruptions gracefully and steering the session back on track, you show respect for the client’s time and reinforce the session’s purpose.
