Personally from what I have faced in the construction Industry there is a constant change of design wrt the client's requirements. Which in turn affects the material requirements. So as an experienced organisation we are always prepared for this with a few simple steps: 1) Have more than one supplier. 2) Payments are done without any delay. 3) Always make sure the deals are made to benefit both parties. 4) Maintain good buyer-seller relationship

It is crucial to communicate with the supplier and ensure they understand the message. Ask them about the impact on their end and never downplay their response without fully evaluating and understanding the challenges faced by all parties. Be supportive and discuss in a harmonious and professional way to mitigate or minimize delays. Be sure to record all relevant points and decisions. Nobody likes delays in a project, including the suppliers. One should not shift the responsibility to catch up to one party only.

Being in Mechanical Design Services, we sometimes face these challenges of unexpected design changes. It may be the reason that either client gave us incomplete details to start with, or may be the due to some scope changes. In such situations, the first thing is to highlight the change along with its technical implications to client. This serves as basis for Further discussion on commercial implications as well. Finally, we have to understand that such change affect not only to us as service provider, but to everyone involved. So, look for to strike a win win situation.

During the GIS project, we encountered an issue where the entire elevation was incorrectly mapped below the +4m level, which was insufficient for the maintenance activities of the cable cellar unit. The situation became more complicated as the purchase order (PO) had already been placed with the structural supply vendor, and fabrication had already begun based on the original incorrect elevation. To mitigate the impact, we convinced the supplier to refabricate the materials according to the revised drawings. Meanwhile, we proceeded with setting up the civil foundation to the required elevation. By managing both civil and structural activities in parallel, we were able to minimize the delay to just 25 days.

In project engineering, design change is very common. It can be either due to change request from Client or may be an in house requirement to suit to the process conditions or may be an improvement. In any of the case, the most important thing that is to be done is to not to hesitate and immediately communicate the request to the supplier about the design change with proper justification. Engineering is a human dependent activity and so design change it is bound to happen. Suppliers also will be considerate if the change is informed in time. If communication is delayed it becomes very difficult for the supplier to accept the request and take corrective action. Design change might not always incure cost if informed on time.

Co-ordinate with design team first for the changes. Why it happened? Check hurdles and modification required/ understand thoroughly. Prepare a presentation for changes including cost implications/time required, process parameters etc. Then discuss the same with client. After discussion, implement the same.

1.Determine the critical level of change. It must be based on an optimal design according to QCDS judgment. 2. Negotiate the revised timeline with the supplier: >Explain why this is prioritized. Are they willing to stop other work and focus on our items? This depends on the relationship that was built initially. >Commit to flexible payment terms before completing the relevant documents. Sometimes, the longest process is not tooling revision. 3. Consider a retrofit as a backup plan in case of slight delays.
