Pre-determined scenarios for delays or cancellations ensure smooth coordination across all functions and minimize disruptions.

There are many and multiple factors to consider on that topic. Let's start with the obvious but important matter of having a Plan B (also C). Experience says that things happen and we should be ready very in advance for last minute changes due to flight delays, TV re-schedule, weather... Working on these alternatives "in case" avoid the team to discuss any options during a peak stress periods. Of course, when this sudden schedule change happen, it becomes a priority into the team but always should be a shared responsibility with different members to work in an aligned way to solve the situation and, of course, to communicate it properly to the different stakeholders and people involved.

Normally, this would never happen in a sports event with a standard and experienced project manager. But of course, uncertainty is the only certainty. Sometimes the unexpected can happen, such as an unexpected natural disaster or an uncontrollable catastrophe. The most important thing is to control the damage. So, when you can't isolate yourself to handle every detail, the best thing to do is to delegate tasks to the responsible parties, set goals for what you ultimately want from them, set deadlines, and set ways to track and measure their performance. IMO, Delegate responsibilities that must more efficiently way to handle the situation.

Managing sport event needs very strict rules on time management and flexibility as you need to manage expectations from different teams. It is also important to have briefing prior to the events to avoid mis conception and put the event on the right tracks from the beginning. While sudden changes can happen it is very important to plan accordingly the event in advance and have contingency plans and back up plan ready. Your logisitic has to be ready and the further in advance you plan the more you are ready on D Day.
