As a founder, effective communication is essential, especially in a fast-paced startup environment where every update can impact the overall direction. To address this, I'd first have a one-on-one conversation with the team member to understand any challenges they might be facing that prevent them from staying up-to-date. This also gives them a chance to provide feedback on our current communication process. First, we could adopt a central project management tool where all key updates, tasks, and priorities are clearly outlined, reducing reliance on email or scattered messages. Secondly, setting a consistent time each week for team check-ins will ensure everyone is on the same page and has a chance to clarify any updates in real time.

The following suggestions may be beneficial ✔️ Ensure a designated platform or method for sharing updates is in place for all team members to access easily. ✔️ Clearly communicate the importance of staying updated and provide specific guidelines on how and when updates should be shared to avoid any confusion. ✔️ Regularly check in with team members to ensure they have received and understood the updates, and encourage them to ask questions if needed. ✔️ Send out timely reminders or calendar invites for important updates and deadlines to keep everyone informed and on track. ✔️ Offer support and guidance to team members who may be struggling to keep up with updates due to workload or other reasons to help them manage their tasks effectively.

When a team member kept missing updates in a sales system overhaul project, I implemented the RACI (Responsible, Accountable, Consulted, and Informed) framework. This clarified roles and ensured everyone knew who was responsible for delivering updates. Weekly stand-ups and shared project management tools like Trello streamlined communication. When someone is missing updates, it's important to meet up with them and talk through why it's happening. I also like to explain to them why the updates are so important and what happens when they do not go out. Most of the time when people miss sending updates, it's because they don't think it's that important and they get caught up in doing the work and not providing updates. If you explain how people react and what happens when the updates go out, it helps them understand the situation better and then they understand the reasoning for the updates. It's important that people feel valued and that the work they do means something, so letting them know the importance of their work and updates is key.

Your team member keep missing crucial updates,to ensure that he communicates effectively is to ensure that the member follows the initiation, planning and execution of the project, and is given the tasks to understand the processes of effective communication through organizational awareness, statistical survey processes, Seminars, conferences were the team member will be exposed on the importance of service delivery, accurate self assessment and self esteem.Further exposure will be on the importance of timely report submission, and updates for better initiatives, evaluation and control.

One approach that’s worked well for me is setting up a regular 'sync' cadence—short check-ins where we cover only the most critical points. Plus, centralizing updates in a shared platform (like Slack or Asana) keeps everything transparent and easy to access later.
