Unannounced system outages are always a nuisance, especially when handling customer support. Firstly access the situationa and which tasks will be most affected. Secondly check for the outage ending approximate time to align the tasks accordingly in advance. Check possibility of doing the tasks which can be while system is offline to reduce future piling up of tasks. Always check for the alternative meanings if possible until system is restored. Usually now a days all system have backup plans. Inform the relevant affected users of the situation and be in contact continuously.

Consider having a set of tools or resources you can use during outages, such as offline access to documents, apps for task management, Use Phone or Messaging Apps If email or your regular communication tools are down, switch to phone calls, text messages, or chat platforms that are still functional. 2. Communicate with Stakeholders & Inform Your Team or Clients, If the outage is affecting your ability to meet deadlines or deliverables, Let them know what you’re doing to manage the situation and keep them updated on your progress 3. Collaborate in Other Ways, If you're waiting on feedback or approvals, consider reaching out to colleagues via phone or in-person meetings to keep things moving. And stay calm.

Being in charge of the iT in a small company makes my job easier in such situations and I created contingency plans to minimize the impact. I built this strategy after a power outage affected our team after a tractor "trimmed" a pole which had electricity and fibre optics. The first step was to assess which teams can resume work on laptops without internet (offline) and for which teams internet is essential. Step 1 was to provide internet, this was done by setting up cellular hotspots, first to critical teams then to the rest Step 2 was to start powering up the essential parts, by tapping into a generator (which our neighbor had) This experience led us to create a "what if" game plan which addresses both network & power losses.

I have experienced outage a couple of times and it is usually resolved in a couple of hours. In this situations, if I have a steep deadline to meet, I quickly find an alternative power source and inform clientsof the situation. Otherwise, I just prioritize offline tasks.

In situations like this, that I've experienced first hand, I prefer to combine my options like this... I analyze the depth and width of the issue with available data, reprioritize my options for productivity, ask for feedback from my team(s), communicate with clients and then go fishing!!! Lol, that last one was obviously a joke, which I also find helpful in stressful situations!
