Funny I am ahead of myself on each of these questions. Depending on the type of content and access, assigning roles is critical component to maintain organized content. For internal, as an example, a point person for each department posting content would be my first choice. A backup person as well, implementing an approval before going live, making sure it’s properly documented and analyzed. Than maintain weekly reporting of who, how many, times, referring links, and any errors. These point individuals are also responsible to verify content is available and works across all platforms.

By setting permission to who can view-only or edit the files, this helps in preventing unauthorized modifications and maintaining data integrity, also ensuring that everyone works on the files according to their roles and responsibilities. While you can grant view-only to certain team members who need to review and stay updated without making changes, while allowing other team members to make changes and collaborate on the required files for their roles.

For sharing within your team you can use cloud service , but for sharing outside the team you can generate a shareable link with specific permission to view-only or edit via OneDrive or sending compressed files for large file sizes using Zip folders to maintain quality. And to ensure security for file protection you can also use WeTransfer or password-protected links to maintain confidentiality when sharing important files with external collaborators.
