1 Define the tasks

The first step to effective delegation is to identify the tasks that you can delegate and the ones that you need to do yourself. For example, you may delegate some administrative tasks, such as scheduling, invoicing, or marketing, to a virtual assistant or a colleague. You may also delegate some aspects of vocal training, such as warm-ups, exercises, or feedback, to your students themselves or to other mentors. However, you should keep the tasks that require your expertise, creativity, or personal touch, such as designing the curriculum, choosing the repertoire, or coaching the performance.

We can’t do everything on our own. Delegating small tasks is a good thing, as it free you to improve aspects that are the most beneficial for your students’ improvement. You need to however be carful with what tasks you’re delegating. You know your students best: their struggles, what blocks them vocally, and they trusted you with their voice and to lead them on the way to success. You want to maintain their trust. Delegate repetitive and general tasks, like: expanding song playlists for students to choose repertoire from, organising concerts, administration or promotion.

2 Choose the right people

The next step is to choose the right people to delegate the tasks to. You want to make sure that they have the skills, knowledge, and interest to do the tasks well. You also want to consider their availability, reliability, and communication style. For example, you may delegate some tasks to your students if they are self-motivated, eager to learn, and willing to take responsibility. You may delegate other tasks to other vocal coaches if they have similar values, methods, and goals as you. You may delegate some tasks to a virtual assistant if they are professional, efficient, and flexible.

It’s a part of leadership to be able to know people’s strengths and be able to utilise them. As a part of a voice-learning journey, you want to give your more advanced students tasks, that will benefit their vocal development, such as teaching. It can be a free lesson for underprivileged children, where you give a clear task to your student to do, such as vocal warm up, or learning a song with the group. Organising events takes also different skills: calling venues, negotiating terms, writing program and invitations… it can all be delegated to students, an admin or other teachers.

3 Communicate clearly

Communicating clearly with the people you delegate tasks to is the third step. You should set clear expectations, provide clear instructions, and offer feedback. For instance, explain the purpose and outcome of the task, as well as the deadline and frequency. Outline the resources and tools needed for the task, as well as the standards and criteria. Additionally, mention the benefits and rewards for completing the task, as well as any challenges or risks associated with it. Make sure to provide support and guidance available for the task, and report on its progress and results.

4 Trust and empower

The fourth step is to trust and empower the people you delegate the tasks to. You want to give them autonomy, responsibility, and recognition by allowing them to choose how to do the task, as long as they meet the expectations. Encourage them to solve problems, make decisions, and take initiatives. Appreciate their efforts, achievements, and contributions and celebrate their successes. Additionally, learn from their mistakes and grow from their feedback. Finally, involve them in future plans, goals, and opportunities.

In my experience, students first need to trust themselves. When that openness and confidence starts to come through, the positive contributions begin to flow. If by “vocal” we are talking about complaining, I still begin with trust and empower, but watch carefully and course correct if needed.

5 Evaluate and improve

The fifth step in the delegation process is to evaluate and improve it. You should measure the results, review the feedback, and identify areas for improvement. Ask yourself and those you delegate tasks to questions such as what worked well and what didn't, what were the benefits and challenges of delegation, strengths and weaknesses of each person, lessons learned and best practices, and what can be done better or differently next time. By following these steps, you can delegate effectively to empower your vocal coaching students. Doing so can save time, energy, and money while enhancing productivity, quality, and creativity. Additionally, it can build trust, rapport, and collaboration while fostering your students' skills, confidence, and passion.
