In my view, when unforeseen challenges disrupt a project timeline, it’s vital to communicate proactively with stakeholders. I would first assess the situation, identifying the root cause of the delay and its impact. Then, I would share this information with stakeholders transparently, explaining the challenges while presenting a revised timeline and a clear plan for addressing the issues. Offering solutions and alternatives shows that we’re actively working to resolve the situation. Regular updates throughout the process help manage expectations and maintain trust, while reinforcing that the team is focused on delivering quality results despite the setbacks.

If the challenges are unforeseen, then communicate that to the client, and at the same time advise what action you are taking and how long the delay is likely to be. Then you need to ask 'How could I solve this' Could is an expansive word, so look for solutions within the problem. And try to ensure this unforeseen problem doesnt arrive again, why hadnt you considered it in the first place?

Apart from transparent communication, expectation setting, resource optimization, one thing I've found useful is to treat the stakeholders are 'partners', and not 'reviewers' in the project. Building such a relationship with the stakeholders allows them to look at the challenges from an insider's perspective, thus helping them understand the situation better and trust the team with the next steps.
