How do you create and apply consistent stylesheets in InDesign?

Style sheets are essential for consistency in design. They are attributes that are taken from the brand style guide, such as fonts, size, spacing and other style-related elements that can be applied consistently throughout a document. This is not only essential for a harmonious brand experience, it's also a massive time saver as it reduces the need for the designer to manually apply styles to individual elements within the document. An initial investment in time to get set up will help decrease workload in the long-run.

Having the right styles is one of the most important tasks in Desktop Publishing. Accurate stylesheets make a huge difference in the overall workflow, from file preparation to finalizing a document for printing or online publishing. I highly recommend using keyboard shortcuts for styles. This greatly improves workflow.

Creating stylesheets in InDesign is a game-changer for ensuring consistency across your documents. Here's a nugget from my 30+ years in desktop publishing: leverage the power of styles for uniformity and efficiency. Start by exploring the Styles panel, but don't stop there. Embrace nested styles for complex text formatting, GREP styles for pattern-based formatting, and based-on styles for hierarchy and ease of updates. In multilingual localization, having a well-prepared INDD file with robust stylesheets can make all the difference. It can be used as a base for preparing right-to-left (RTL) languages, or for languages that require different encodings. Personally, I create parent styles from scratch to prevent style overrides, and then child styles with the same base style but with different attributes, such as color, GREP styles, nested styles, space after paragraphs, etc. Plus, the name of the styles have to be clear and concise.

To be on the safe side, I always use keyboard shortcuts. Instead of picking styles using the Eyedropper tool, which can lead to errors, or simply because it slows down the formatting process.

If your workflow includes importing documents from Word or Pages then work with the content creators to establish Styles in the source material. Word styles can be mapped to InDesign during or after import. Creating a template for content creators can be a good investment in time.
