How do you avoid common mistakes when applying for research grants?

As a researcher, look to craft your proposals not just to fit the funder's mission, but also to illuminate the full potential of your work. Why does it matter? How will it be done? What impact could it have? Transparency in budget and timeline, matched with a balance of technical details and a compelling narrative, boosts credibility. Mastering this intricate art form, in my experience, is crucial for successful grant applications.

When writing a grant think from the reviewers point of view. They are looking for mistakes to reject your grant and end up with few grants in which they can hardly find any. Funding is limited and they have to filter out the ones they think are flawless and those grants get funded. Grantsmanship is an art, you have to convince the funding agency/organization why should they fund your idea, what is so great about it that they should put their money in. The other thing I learned is be thorough and very detail oriented and have your grant read by other people well in advance and work on the critique and make it the best piece of document you can be proud of irrespective of whether it immediately gets funded but eventually it will.

It often pays off to skip unnecessary detail. And unnecessary detail might be virtually everything specifically related to the actual topic. Focus should be placed on asking questions, highlighting either the gap or the debate one contributes to, and most importantly, research impact on current trends (in scholarship, or otherwise) makes a difference. Furthermore, the possible embeddedness of research results in major and currently relevant themes often represents a major criterion.

Mostly, be precise about which problem your research solves. Remember grants are also a market, so think about supply and demand: not only your research must address a specific topic the funding agency needs more discussion about but also their clients need more information. Even though some Institutions do not profit from the “services” they offer, do not forget that the people/companies they support still need their problems solved.

Such pragmatism lends credibility to your proposal. But in the fierce competition for grants, unique contributions set you apart. Introducing a novel methodology, or addressing a previously unexplored area with significant implications, adds value. Show how your work could shift the paradigm, fill knowledge gaps, and advance the field. This unique value proposition can tip the scale in your favor. So, while detailing your expertise and project's practicality, remember to also spotlight what makes your proposal uniquely impactful.

One mistake I see commonly is the use of long, winding sentences with multiple ambiguous clauses. If a reviewer can’t understand what you’re trying to say, they won’t fund you. If they have to read the same sentence 2 or 3 times to understand what it means, they may become irritated. Remember, they have dozens of these to get through, and this probably isn’t even their primary job! To make sure your proposal is ‘translating’ your science well, talk to colleagues who are “educated non-experts.” This would be someone with a degree in your general field (ex: neuroscience) but NOT your specific research area (ex: neurodegeneration in C. elegans). Have them go through part of your proposal and highlight words or sentences they don’t understand.

The ultimate goal in both commercial and academic settings is to persuade the audience—be it investors, customers, or grant reviewers—to buy into your vision. Proofreading tools like Grammarly, Hemingway Editor, ProWritingAid, and features in Microsoft Word or Google Docs can help catch mistakes and improve readability. However, even these can't replace feedback from peers and mentors. Ultimately, effective proposal writing hinges not just on what we communicate, but how we present it.

Emphasizing impact and innovation is akin to a tenet in the tech sector: innovate relentlessly. As grant proposal writers, we should adopt this mentality. Our research should not only tackle significant issues but also bring novel insights or methods to the table. This innovation, the unique spark in our research, is what can set us apart. Outlining potential benefits to the field, society, or environment underscores our research's impact, just as a tech product demonstrates its value to users. We should explain how our work expands upon or challenges existing theories, involves stakeholders, and fosters positive change. Just like in tech, constant innovation and value creation should be our guiding principles.

Use good theoretical arguments but also provide data! If you already have a chance of accessing relevant information or similar datasets, use compelling figures to showcase your ideas. Often, a single figure speaks a thousand words. Choose wisely.

Maintaining relationships with funders and building a network of support are critical components of long-term success in both academic and commercial ventures. Much like the extended sales cycle often seen in enterprise sales, the grant application process should be viewed as an ongoing relationship-building opportunity, where following up—regardless of the proposal's outcome—serves as an investment in a sustained partnership for future collaboration.

Bottom line? Follow the guidelines of the grant. New researcher? Ask to see your mentors successfully funded older grants as an example. Grant writing can be a big learning curve, ask a well experienced scientist to read over and give you suggestions. Finally realize it may take many tries to get that first funding but you can do it!
