More than defining, is vital to identify the problem and the root causes of the same. Knowing the causes of the issue in question will allow you to navigate more at ease toward a solution.

Problems requiring complex decisions do not happen overnight. I would always say that there is a build-up somewhere that ultimately led to that situation. Rather than coming up with a list of questions, I prefer using the 5 Whys with a caveat starting question - 'Why is it a problem in my perspective?'. From there, you should have a level of understanding if it is something that only you can decide upon. Otherwise, it would be worthwhile to look into it in a wider perspective.

"Ease" is putting it simply. In my experience it is best to break it up; 1. What is the problem - Define it based on first principles, is it even a problem to solve? or worth investing effort to fix? 2. What are the options - Based on how quick resolution is required, and what are the desired outcomes based on which we determine problem is fixed 3. Measure, Report, Pivot - Periodically measure the outcomes to validate efficacy of the approach. If it is not up to the mark, dont be a victim to sunk cost fallacy and PIVOT to the next option.

An open-ended problem has no root cause. These problems have multiple solutions and require right-brain or creative thinking, while closed-ended problems have single solutions and require left-brain or analytical thinking. To define an open-ended problem it is helpful to get very clear about your desired outcome. This is equivalent to vision. What is your vision for the situation when the problem has been solved?

When faced with complex decisions, I begin by defining my goal and gathering thorough information. I generate diverse options, objectively evaluating them with a focus on key criteria and utilizing data for analysis. Stakeholder interests are considered, and seeking advice provides valuable perspectives. Decision-making models guide my structured approach. Managing stress, trusting instincts, and simulating outcomes are crucial. A set timeframe prevents prolonged indecision, and learning from past experiences informs my process. Once a decision is made, I commit to it decisively, ensuring effective action.

I have realized that the better you define and describe the problem, the closer you will be to a solution. There are different tools you can use to define the problem: flowcharts, root cause analysis, system diagramas, cause and effect analysis... but rather than the tool you use, the most important thing is to follow a methodic and step by step approach, and of course avoid doing it alone but engage in a brainstorming session with different people. The solution will be closer than you think.

What carries the day for me is to include a short period of non-conceptual stillness/ mindfulness prior to the decision itself so that the deeper, intuitive intelligence (sometimes referred to as “Big Mind”) can inform the conceptual process. Anyone who has actually integrated this “habit” into their personal & professional lives can attest to its benefits.

In some cases, rather than making a decision yourself, delegating it to someone who is in a better position to make an informed decision could be the right approach. If it's delegated to the right person, not only will it improve the quality of the decision, but it also increases the likelihood of gaining approval from other stakeholders.
